Visiting Search and Screen Procedures

The need to hire in a visiting position often arises quickly.  Therefore, the procedures for a visiting are often different from normal faculty hiring procedures.

It is important to note two things:  1) Approval for a visiting position does NOT mean that approval for a similar tenure-track position is automatic; and 2) the faculty member who fills the visiting position may be eligible to apply for a tenure-track position, but is not guaranteed the tenure-track position.  If and when the visiting position becomes a tenure-track position, the faculty member serving in the visiting position is welcome to apply.

1. Unit requesting position develops job description. Unit will use the academic affairs job description template (on the back of this form). Unit must also complete the position authorization form.

2. Review and approve job description and position authorization form in the Office of Academic Affairs

3. Appoint search committee- Given the need for quick turn-around, the search committee may be quite small

4. Advertising plan developed. This may include calls to nearby institutions, letters to current adjuncts, advertising in local papers, etc. Efforts will continue to be made to continue to hire affirmative action candidates for a visiting position.    Recruitment plan must be approved by the Vice Chancellor for Academic Affairs and the Affirmative Action Officer

5. Advertise position

6. Search committee meets. If the chair of the search committee has been through the Search Procedure Training, then he/she will be able to review the search procedures with the search committee at this first meeting. If the chair has not completed the Training, then he/she will need to invite the Affirmative Action Officer to the first meeting of the search committee so the committee can be trained on.

7. Review applications

8. Schedule phone interviews of top candidates. The search committee can phone interview more than the number that the committee is authorized to bring to campus. References can be checked, if the committee so desires, at this point.  Candidates can be asked to provide the names of two or more references that will be available within the next few days for a reference check.  If the references are checked at this point, the candidate’s direct supervisor must be called.

9. Decide on candidates to bring to campus

10. Interview candidates on campus

11. Reference checks on the finalists. Finalists will be told that they must provide the name and contact information of a direct supervisor and those supervisors will be contacted.

12.  Evaluate candidates on acceptable/unacceptable and strengths/weaknesses and provide rank order to the chair/dean

13. Dean should recommend candidates in rank order to the office of Academic Affairs. Ranking should include a discussion of the rationale behind the rankings, and any additional information the search committee believes is important to the offer.  Committees should note, as per federal law, that an American citizen/permanent resident has priority over a non-citizen in terms of the job offer.

14. Office of Academic Affairs makes the job offer(s).
